Your Guide to Renting Affordable Venues in New York City, NY

How to reduce event costs?

If you wonder whether it’s possible to organize an event on a tight budget, the answer is “yes”! You can save a lot of cash by renting out an affordable venue of course, but there are also some other things you can do to minimize your final spend. These tips can be applied to any event or budget, so keep them in mind when making your plans for your next great event!

  1. Don’t limit yourself to only one venue! - Do some research and spend some time getting the information you need: what’s the exact location, what’s on the menu, is it far from the public transport, etc.? You need to find the best place that will help you balance out the final costs. Sometimes it is better to hire a blank canvas venue and organize catering from an outside supplier. Another time it may be best to use a venue offering dining options. Don’t hurry and think of all the options. After you pick at least 2 venues, get appointments with the venue managers to see the places in person and compare their offerings. Some affordable venues can have less attractive pictures of their interiors, so don’t rule them out only because of that. They can have a completely different vibe when you see them with your own eyes!
  2. Equipment and facilities - Make a list of equipment and facilities you need at your event. Then check out or ask the venue manager if the things you need are included in the rental fee. You need to remember that some services and equipment can be charged additionally at some venues while at others it will be included in the total cost. Ask for discounts as sometimes it can result in adding some extras for free.
  3. Be flexible with the date - Pick some dates that you like and don’t limit yourself to only one option. Have them in mind while sending an inquiry, as flexibility can put some extra money in your pocket. Check when venues have low seasons and ask whether they have lower rates at off-peak times. Overall, it’s better to opt for the dates which aren’t during a high season, such as federal holidays or four-day weekends, or in summer. Some venues also charge less depending on the weekday, so make sure to ask about that.
  4. Track your budget - if you want to lower your budget, control this at any cost. Make a table and write down everything you have spent, or are planning to buy. If you’re buying decorations, consider ordering them online, or search for discount codes. Ask the managers for packages and extras and any exact pricing that you are not aware of.
  5. Don’t over-deliver on food - Make a guest list and roughly estimate how much food and drinks supplies you need. This will help you not overspend on food your attendees won’t eat. Then you can look for the venues with in-house caterers or search for a venue and a caterer separately. Note that there is always a cheaper option available out there, so don’t get discouraged if you don’t find one at first!

I needed to find a quick and affordable venue for a Friendsgiving and this location was perfect. The venue came equipped with food racks, trays and a Bluetooth speaker. The space was also set up with tables and chairs for us. The host, Yasmine, was super friendly, communicative and an excellent host. She also add thanksgiving decorations for free! I highly recommend this location for parties, dinners etc. Yasmine is super helpful and will answer any questions or concerns you might have. We’ll be back for sure. Thank you Yasmine!

The whole experience was exceptional! Dean was so responsive and easy to work with setting it up. The food was delicious, the vibe was laid-back but slightly upscale, and cocktails were quite reasonable, so we were able to have an open bar event. I can’t recommend it highly enough. We’ll be back!

We came here to celebrate our wedding. The staff was fantastic. They were very attentive and went above and beyond to help us have a beautiful evening. The food was incredible and portions were generous. My guests were talking about how much they loved their experience at the restaurant for days afterwards. I highly recommend having your next event here and would return again myself.
